How To Create Customized Excel Spreadsheets From Paper Documents With Able2Extract Pro 8

Able2Extract Professional 8 PDF Converter is an advanced PDF solution that converts scanned OCR PDFs into fully formatted Excel, Word, PowerPoint, Publisher, and other document formats. The power of this PDF tool is in the latest and most advanced PDF and OCR technology, which enables users to turn native or scanned PDFs into highly customized and editable e-documents. It is also the first cross-platform PDF converter, designed for Windows, Mac and Linux platforms.

No matter how many documents we produce electronically today, there always seems to emerge a really important paper document that needs to be turned into an electronic one and processed further. So we often use scanners, or increasingly mobile devices, to turn this important information and data into some kind of an e-document. The outcome of this process is usually an image or scanned PDF document that we can archive electronically, email or share online. But, in most cases we cannot modify it, update or improve on it any further.

However, thanks to optical character recognition (OCR) technology and advanced conversion technology used in file converters such as Able2Exctract Professional 8, it is now possible to covert not only scanned text, but images as well. One of the most powerful features of this PDF converter is the ability to perform customized PDF conversions. This is probably most useful when converting native or scanned PDFs to Excel spreadsheets for easy numerical data analysis and editing. Let’s see what you can actually do and how to ultimately adjust the output of a PDF to Excel conversion.

First you’ll need to Download Able2Extract Professional 8 and install it on your computer. It comes with a 7-day free trial, so you can make use of it for free for a whole week. If you like it, you can purchase the full, no limits license for $129.95 or a monthly subscription for $34.95.

1. Once you install it, just start the software and open the PDF that you want to convert to Excel by choosing Open on the File menu or clicking the folder icon on the toolbar.

2. Select the data that you want to convert. It can be the entire document, or just a certain portion of it, such as one area or a page range. If you don’t have experience with selecting data for conversion, simply follow the prompts that appear on the screen. In the image example below, we decided to convert only one of the tables on the page:

3. Now click on the Excel icon on the toolbar or choose Convert to Excel… from the File menu:

4. Once you’ve done that, you get to choose your conversion options. Automatic is recommended for most conversions to Excel, and it is usually all most users will need. However, here we want to show how you can use the software to perform completely customized PDF conversions and create a spreadsheet adjusted to your most specific needs. For that purpose, choose the Custom conversion option by clicking on the Define button.

This opens the Custom Conversion Panel on the right hand side, which lets you designate various adjustments and customize the conversion output.

For this example, we will choose to erase some column lines. Click Erase Column Line and then left click on a column.

To add the column back, choose Add Columns and left click on the space where you want to insert a column.

Also, you can specify how the content within each column will be treated in Excel – as numbers, text, or by default. To do that, click the button Column types, select individual column and specify the preferred type (check the image below):

Then you can manually edit rows of the table by checking the option Manual Row Editing, which will enable you to add or erase rows from your PDF output.

Another handy option is the ability to edit headers and footers, from enabling and adjusting them to completely disabling them.

The above are only some of the advanced custom conversion options for Excel.

Once you’ve customized your Excel output, check Show Preview on the right hand panel and if you’re happy with how it looks, click the green Convertbutton. Able2Extract Professional 8 will prompt you to choose the location on your computer to which you want to save the converted Excel file.
